An answering service for healthcare providers that keeps Manchester patients off hold
Your reception team can only take one call at a time. Calltaking.ai answers the rest. During the 8am rush, over lunch, after closing and all weekend, every patient gets a reply in one or two rings. Bookings go in the diary, urgent calls reach a clinician, and the routine questions never touch your front desk at all.
Caller: "I need to cancel my physio on Thursday and book something next week instead."
Clinic line: "No problem. Thursday's cancelled. Next week I have Tuesday at 10.40 or Wednesday at 4.15. Which suits you?"
Caller: "Wednesday, please."
Clinic line: "Done. You'll get a text to confirm. Anything else today?"
What Manchester healthcare providers are up against when hiring reception staff
Whether you run a GP surgery in Gorton, a dental practice in Sale or a home care agency in Bolton, the phones tell the same story. Too many calls, too few people to answer them, and a recruitment market that has not got any easier.
The 8am wall of calls
Half your day's calls can land in the first hour. Even a fully staffed desk cannot clear that queue, and every patient stuck on hold is one more person who rings back later or turns up at the counter angry.
Receptionists keep leaving
Front desk work in healthcare is hard and often thankless. When an experienced receptionist leaves for a calmer job, you lose months of local knowledge and spend weeks training a replacement.
A crowded job market
Health and social care employs more than 200,000 people in Greater Manchester, and around 7% of healthcare posts were empty in the GMCA's autumn 2024 report. Hospitals, PCNs and private groups are all hiring from the same pool.
Wage bills keep climbing
The National Living Wage went up to £12.71 an hour in April 2026, and employer National Insurance now sits at 15%. Adding another receptionist to handle phone overflow costs far more than it did two years ago.
Clinicians end up on the phone
When the desk is short, nurses and practice managers pick up calls between patients. That is expensive time spent saying "we open at 8" and "your prescription is ready".
Nobody covers the evenings
Private clinics, dentists and care providers get calls long after the doors shut. Without someone to answer, those enquiries go to voicemail or straight to a competitor. Our medical after hours answering service fills that gap.
A dedicated healthcare answering service takes the pressure off without another hire. Your team keeps the calls that need a human touch, and the line handles the rest. For a look at how call demand builds up across a week, read our guide to healthcare call volume management.
What is an answering service for healthcare providers?
It is a phone service that answers patient calls on behalf of a clinic, surgery, dental practice, pharmacy or care provider. It can work alongside your reception team, picking up whenever every line is busy, or it can take over completely when you are closed.
Calltaking.ai does this with a voice agent that has been set up with your own information: your services, opening hours, clinicians, booking rules and the phrases that mean a call needs a human straight away. Patients talk to it normally. It books and cancels appointments, answers common questions, takes messages and puts urgent calls through to the right person.
It never gives medical advice. Anything clinical goes to a qualified member of your team, to NHS 111 or to 999. To see how this compares with other options, read virtual receptionist vs answering service.

How much reception time do your phones really use?
Most practice managers underestimate this. The example below uses 250 calls a day at three minutes each, which is a fair starting point for a busy surgery or clinic. Put in your own numbers to see the result for your site.
| Line item | Working | Result |
|---|---|---|
| Phone time per day | 250 calls × 3 minutes | 12.5 hours |
| Phone time per year | 12.5 hours × 5 days × 52 weeks | 3,250 hours |
| Staff time this equals | 3,250 ÷ (37.5 hours × 52 weeks) | 1.7 full-time receptionists |
| Basic pay | 3,250 hours × £12.71 | £41,308 |
| Employer National Insurance | 15% above £5,000 per employee | £4,946 |
| Workplace pension | 3% of qualifying earnings | £927 |
| Yearly cost of phone time alone | At the legal pay floor | £47,181 |
Example inputs, rounded figures. Experienced reception staff are usually paid above the National Living Wage, so your real cost is likely higher. The Employment Allowance may reduce the National Insurance line. Check the detail with your accountant.
Hours on the phone each year: 3,250 · Yearly cost: £47,181

The calls your front desk should never have to take again
Most healthcare calls fall into a handful of types. We set each one up the way you want it handled, and you can change the rules whenever you like.
Booking, moving and cancelling
Checks the diary while the patient is on the line and books the slot. Cancelled slots go straight back on offer, so fewer appointments are wasted.
See integrations →Routing to the right person
Hospital discharge teams, pharmacists, care home staff and worried relatives each get put through to the right desk or clinician, rather than joining the main queue.
How call routing works →Answers to everyday questions
Opening times, parking, fees, how to register, whether a prescription is ready. These calls are quick to answer and they eat up hours of reception time every week.
Customisable call answering →Urgent calls flagged straight away
Certain words and phrases trigger an immediate 999 instruction or a live transfer to your duty clinician. Your clinical lead decides what those are.
After-hours medical cover →Messages your team can act on
Every call that needs follow-up becomes a short note with the caller's details and reason for calling, sent by email, SMS or into your system.
Virtual assistant call answering →Many languages, one line
Greater Manchester is home to dozens of language communities. The line can greet and help callers in several of them, and flag calls that need an interpreter.
Automated phone answering →Call flow guide by type of healthcare provider
Different providers get very different calls. This table sets out the calls we see most often for each type of service and the way we usually set them up. Use it to plan your own call handling policy.
| Provider | Most common calls | Handled by the line | Passed to your team |
|---|---|---|---|
| NHS GP surgery | Appointments, repeat prescriptions, test results, fit notes | Bookings, cancellations, prescription requests, opening times | Results, home visits, anything clinical |
| Private GP or specialist | New patient enquiries, fees, referrals, follow-ups | Prices, consultation bookings, directions, insurance questions | Post-procedure concerns, referral letters |
| Dental practice | Check-ups, toothache, NHS or private fees, cancellations | Bookings, recall reminders, fee bands, emergency slot requests | Swelling, trauma, severe pain |
| Physio and therapy clinic | Course bookings, rescheduling, prices, self-referral | Bookings, deposits by link, intake details | Injury worsening, clinical questions |
| Care home or home care | Family updates, visiting, staff absence, new enquiries | Visiting times, care enquiries, staff sickness logging | Resident wellbeing, safeguarding, on-call manager |
| Pharmacy | Stock checks, prescription status, opening hours | Hours, collection queries, service bookings | Medicine advice, GP queries |
| Mental health and counselling | Session bookings, fees, first enquiries | Bookings, fees, a calm and private intake | Any sign of crisis, with crisis line details given |

Example calls for a Manchester dental and physio group. Details are made up to show how the rules work.
Both receptionists are busy. A patient asks about NHS fee bands for a filling. The line explains the bands and books a check-up.
A caller mentions facial swelling and a temperature. The line puts them straight through to the duty dentist.
Three physio bookings and one cancellation come in while the desk is closed. All four are in the diary by 2pm.
Someone asks about Invisalign prices. The line gives the starting price and books a free consultation for Saturday.
Answering service for healthcare providers: FAQs
What does an answering service for healthcare providers do?
It answers patient calls for you, either when your team is busy or when you are closed. It books and cancels appointments, answers common questions, takes messages and puts urgent calls through to the right clinician. It does not give medical advice.
Will it replace my reception team?
That is not the idea. Most Manchester providers use it to take the repetitive calls and the overflow, so their receptionists can look after patients at the desk and deal with the calls that need a person. Some smaller clinics use it as their only phone cover.
Which types of healthcare provider can use it?
GP surgeries, PCNs, private GPs, specialist clinics, dental practices, physio and therapy clinics, pharmacies, care homes, home care agencies and counselling services. The call rules change for each, as shown in our call flow guide above.
How much does a healthcare answering service cost?
Plans are usage-based or a fixed monthly fee, so a small clinic pays far less than a busy PCN. For comparison, one extra full-time receptionist costs over £28,000 a year at the National Living Wage. See our pricing page for current plans.
Can it book appointments straight into our system?
Yes, where your booking software can connect. Where it cannot, the line takes the request and sends it to your team in a clear format. Check our integrations page or ask us about your system.
What happens with an emergency call?
If a caller describes something life-threatening, the line tells them to hang up and dial 999 straight away. Urgent but non-emergency calls go to your duty clinician or to NHS 111, depending on the rules you set. Every one of these calls is logged.
Is patient data kept secure?
The line only collects the details your rules ask for. Before you go live, we explain where call data is held, who can see it and how long it is kept, so your data protection officer can complete their checks under UK GDPR.
Can we use it only at busy times?
Yes. Many providers start with overflow during the morning peak and lunch closure, then add evening and weekend cover once they are happy with it. Our medical after hours answering service covers the closed hours.
Do patients know they are talking to an automated line?
You decide how the line introduces itself. It speaks naturally and patients can always ask to leave a message for a person or be put through when someone is free.
How is this different from a general AI receptionist?
It runs on the same platform as our AI receptionist, but the rules are written for healthcare: emergency wording, clinician routing, prescription requests and strict limits on what is said to patients. For other sectors, see a virtual assistant to answer phones.
